Beyond digital

As the company’s headcount steadily increased, boosting efficiency became just as important for internal operations as it was for client projects. While fully digital systems were already in place, Shiwaforce recognized the need to optimize the physical workspace as well.

With this in mind, they approached the Tapirx team to implement a precise and reliable system that would seamlessly integrate with their existing digital infrastructure. The goal was to make meeting room bookings more transparent, faster, and more predictable.

One of Shiwaforce’s key requirements was that all data should be stored on their own on-premise virtual server.

Implementation: First Steps

We presented our meeting room booking system concept: an energy-efficient Tapirx tablet equipped with an e-ink display that shows bookings in real time. Thanks to its technology, the device can operate for several months on a single charge and sends notifications when the battery is running low.

The tablet can be easily mounted on meeting room glass doors and connects to the network via Wi-Fi, continuously updating room availability information. Additionally, the system can be integrated with the existing Google Workspace environment.

Live Testing

Once the concept was approved, we moved into the testing phase. We provided a pre-configured test device with the necessary permissions. Throughout the rollout, we maintained close communication with the Shiwaforce team, quickly addressing any questions and providing remote support to ensure the system was fully set up.

After successful testing, the Shiwaforce team independently installed and activated the devices in all 20 meeting rooms within just a few hours.

The Results

Rapid Deployment

Negotiations began in mid-April, and within just two months, the entire system—from server-side installation through testing to live operation—was up and running.

Transparent, Simpler Daily Operations

Room occupancy is now visible in real time at every meeting room entrance, greatly simplifying ad hoc room searches throughout the day. As a result, uncertainties and confusion around finding available rooms before meetings have virtually disappeared.

More Efficient Processes

Bookings are primarily made through Google Calendar, and reservations appear almost instantly on the tablets’ displays. This has made room availability transparent for everyone.

Further Development Options

In the future, users will be able to book rooms directly on the tablet. By simply selecting a time slot on the touchscreen, the booking will be automatically recorded. Moreover, if a meeting ends early, the reservation can be ended with a single tap, making the room immediately available again.

Searching for Meeting Rooms Is Now a Thing of the Past
